Preparation and Format for the District Governor's Visit

For the Official Visit:

1. The Assistant Governor's meet with club officers and with members of the board of directors prior to the Governor's official visit.

2. Requests to be the greeter for this club meeting so DG has a chance to meet each club member as he or she comes to the meeting.

3. Strongly advises that DG be scheduled as that day’s program.

4. Requests that a new member be sworn in as part of the club’s commitment to Rotary’s Global Quest.

5. Requests the award of a Paul Harris Fellow or any other special recognition or acknowledgment.

6. Requests that check be made to Rotary Foundation on governor’s behalf if there is a plan for a gift. This stresses governor’s commitment to the Rotary Foundation and DG's encouragement of clubs to do the same.

BEFORE THE MEETING

Send to the district governor and assistant governor, in advance of the meeting, the club’s (1) goals and objectives, (2) 2002-03 and 2003-04 budgets, (3) list of officers (4) membership listing as of July 1, 2003.

THE MEETING ITSELF

1. Encourage partners to attend.

2. Club president introduces the Assistant Governor, who will speak 3-5 minutes, and the District Governor, who will speak 15 to 20 minutes.

3. New-member induction – Club president and membership chair are co-hosts, with the District Governor to do the pinning and congratulating of the new member.
